How we process user information, manage secure location telemetry, and run our fleet systems in compliance with Australian laws.
PLEASE READ THESE COMPLIANCE TERMS CAREFULLY. THEY OUTLINE YOUR STATUTORY RIGHTS, SURVEILLANCE CONSENTS, TELEMETRY USAGE POLICIES, AND CONTRACTUAL OBLIGATIONS UNDER AUSTRALIAN COMMONWEALTH AND STATE LEGISLATION.
ChauffeursCompany (https://chauffeurscompany.com) operates as a multi-tenant technology platform under the legal jurisdiction of the Commonwealth of Australia. We are strictly committed to protecting the privacy, confidentiality, and integrity of all user and operator data in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). This Privacy Policy details how we collect, store, isolate, transmit, process, and disclose personal information, corporate details, and operational logs. By registering a company workspace, logging in as an administrator, or utilizing our operator tools, you acknowledge that you have read, understood, and explicitly consent to the data practices described herein.
To establish and maintain corporate accounts on our platform, we collect structured business and personal records from company super-administrators and operators. This information includes, but is not limited to: legally registered entity names, Australian Business Numbers (ABNs), Australian Company Numbers (ACNs), verified business email addresses, primary contact numbers, office locations, and banking/billing configurations. Furthermore, to enable point-to-point passenger transport allocations, we collect operator-specific files including driver names, profile images, contact telephone numbers, state-issued driver's licence files, hire car accreditations, and relevant vehicle identification credentials.
A core operational component of the ChauffeursCompany system is the dynamic tracking and recording of real-time operator (driver) location telemetry. When an operator is signed into the platform's active shift dashboard, we automatically gather high-frequency geographic coordinates (GPS latitude, longitude, transit speed, bearing, and time stamps) via connected mobile devices, integrated browsers, and telemetry hubs. This collection occurs continuously in the background during active duty shifts. The collection of this live telemetry is crucial for automated dispatch systems, distance-based pricing models, routing calculations, and security auditing.
In accordance with APP 6, ChauffeursCompany will only process, use, or disclose personal and telemetry data for the primary purpose for which it was originally collected. Specifically, these primary uses include: verifying business and operator credentials during onboarding, coordinating real-time proximity-based ride allocations, providing transit status updates to allocated passengers, calculating exact fare totals (including base fares, distance components, and integrated extra service fees), and isolating corporate workspaces. Data is structured under strict multi-tenant constraints so that information registered by a specific company remains invisible to other company workspaces on the system.
As a provider of passenger transport coordination software in Australia, we may share relevant operator telemetry, trip logs, vehicle safety checks, and license records with state transport regulatory bodies under legislative mandates or official requests. This includes disclosure to agencies such as the NSW Point to Point Transport Commission, Commercial Passenger Vehicles Victoria (CPVV), Queensland Department of Transport and Main Roads, and other state-equivalent boards. These disclosures are made strictly to verify operator compliance, satisfy audit requirements, check valid commercial licenses, and comply with state safety frameworks.
Under APP 11, we employ extensive physical, administrative, and technological security controls to safeguard personal and operational records against misuse, interference, loss, unauthorized access, modification, or exposure. All communication and data transit between client interfaces and our servers are encrypted using Secure Sockets Layer/Transport Layer Security (SSL/TLS) protocols. Data stored within our database clusters is secured using Advanced Encryption Standard (AES-256) at-rest algorithms. We implement strict server firewalls, secure private subnets, and role-based access privileges to ensure that sensitive driver telemetry and billing details are isolated.
In compliance with APP 12 and APP 13, all registered administrators and operators have the legal right to request access to the personal records and historic telemetry logs that ChauffeursCompany holds on their behalf. You can review your profile, registered vehicle logs, and basic corporate records directly through your secure account control panel. If any recorded information is found to be inaccurate, out-of-date, incomplete, irrelevant, or misleading, you may update the details instantly via the workspace dashboard or contact our privacy desk to request administrative correction.
All payment processing, bank verification, and credit card transit services are facilitated through Stripe. Transactions are subject to the Stripe Connected Account Agreement and Stripe Services Agreement (collectively, the "Stripe Terms"). When inputting payment details or setting up automated payout routing, you agree to be bound by Stripe's privacy rules and services framework. ChauffeursCompany does not store raw credit card numbers or highly sensitive financial credentials directly on its databases; rather, we utilize secure, encrypted payment tokens issued by Stripe to perform secure transaction tracking and fare updates.
Certain features of the ChauffeursCompany services implement external mapping, location autocomplete, and fraud prevention engines. Specifically, we utilize Google Maps APIs, Google Places API, and Google reCAPTCHA Enterprise services. By utilizing our forms, booking fields, and transit grids, you acknowledge and agree that your inputs and location queries are subject to the Google Privacy Policy and Google Terms of Service. These third-party components collect data to perform address suggestions and block spam/abuse.
Registered fleet operators are solely responsible for ensuring that all vehicles listed on their company profile are safe, roadworthy, licensed, and in perfect mechanical condition. You agree to perform routine maintenance, comply with manufacturer recall notices, and upload up-to-date state safety inspection files. ChauffeursCompany reserves the right to immediately suspend or restrict access to any vehicle or operator profile that fails to meet these roadworthy and safety standards.
We reserve the right to modify, amend, or update this Privacy Policy & Platform Terms document at our discretion to align with updated services or changing Australian regulatory standards. When updates occur, the version number and date at the top of this page will be revised. If you have any inquiries, complaints regarding potential APP breaches, or request data corrections, please contact our privacy compliance desk directly at sales@chauffeurscompany.com.
